In Austin: Heat is the constraint that catches people out here, and it changes what a tent is for. From May through September a tent stops being a rain plan and becomes a shade plan, which means fans, sidewalls and misters go from optional to structural. Ask specifically what a tent quote assumes about temperature -- the same square footage rented in October and June are not the same job. The Hill Country venues carry a second, less obvious problem: delivery truck access. Long private drives, gates too narrow for a box truck, and pastures a loaded vehicle cannot cross turn into per-hour labor charges for hand-carrying every chair, table and glass. Get access confirmed in writing before you sign, ideally with a site visit by the rental company. The listed inventory is heavily Austin-based, and most of those trucks will drive out to the destination cluster -- but confirm that in the quote rather than assuming it.
