In Miami: Budget $2,500 to $8,000 for what a blank space needs, and let the climate write the list. Shade is not optional for a daytime outdoor ceremony here, and tenting is as much about sun and a short afternoon downpour as about weather in the abstract. Anything on sand or in a park arrives with no power and no water, so generators, lighting and restroom trailers stop being extras and become the site plan. Ask about load-in early, because a dense urban address can mean a freight elevator, a permit for the curb, and a narrow window between other events in the same building. If your ceremony and reception are at different addresses, get delivery, setup and teardown priced separately for each; one number rarely covers both a ballroom and a beach.

Everything the venue doesn't provide, you rent: tables, chairs, linens, place settings, glassware, lounge furniture, a dance floor, lighting, heaters, and — for any outdoor day — the tent that is quite literally your entire weather plan. Rentals are invisible when they're right and impossible to ignore when they're wrong. Blank-slate venues lean on them heavily; all-inclusive venues may need only a few accents. Order through your caterer or a dedicated rental company, and read the fine print on delivery, setup, and teardown fees, which add up faster than couples expect. If a tent is your rain backup, price it early — it belongs in the budget from day one, not as a panicked day-of line item.
